Role Summary: As Executive Assistant you will support the DTS North America regional leader in several day-to-day activities. You will leverage your problem solving ability to resolve issues through immediate action or planning and you will also contribute to some medium and long term projects that will be key to the success of the region.
Essential Responsibilities: In the role of Executive Assistant-DTS North America Regional Leader, you will:
Provide overall office management and administrative duties such as phone coverage, call screening, memos and letters to the regional leader
Establish and maintain strong communication links with the NAM Commercial Team, Group, Division, and Department level administrative personnel
Proactively coordinate the regional leader’s calendar, which is comprised of a heavy meeting schedule and extensive travel
Make complex travel arrangements and coordinates itineraries
Process T&L expenses
Plan, schedule, and arrange business meetings and travel itineraries; maintain passport and visa requirements; prepare and reconcile expense accounts
Direct business contacts to appropriate managers
Prepare presentations, reports, spreadsheets, meeting minutes and other business information
Assist in managing expense accounts and budgets
Prepare communications such as organization announcements and newsletters
Provide discrete and confidential coordination of sensitive company information
Track and prepare reports for sales programs, Initiatives and Campaigns
Work with Commercial Finance to run Deal Machine (SFDC) reports, analytics and support QMI activities
Provide support to the DTS Commercial team as directed by the Region Leader
Use discretion in interfacing with all levels of individuals, internally and externally
Anticipate needs and accomplishes responsibilities without direction
Prepare, evaluate, and edit incoming and outgoing communications for the executive
Manage multiple projects and priorities and initiates follow up to ensure timely achievement of commitments
Associates Degree from an accredited college or university
Minimum 6 years of experience in an executive assistant position
Ability and willingness to work overtime, weekends and holidays, as required
Ability and willingness to maintain confidentiality of highly sensitive information
Ability and willingness to work a flexible schedule when necessary
Ability and willingness to prioritize and anticipate needs
Ability and willingness to deal with ambiguity and handle stressful and difficult situations with composure
Ability and willingness to balance workload under short deadlines and changing priorities in a fast paced environment
Bachelor’s Degree from an accredited college or university
Strong oral and written communication skills
Strong interpersonal and leadership skills
Knowledge of GE policies / procedures
Knowledge of SFDC or similar CRM
Proficient in Microsoft Applications (PowerPoint, Word, Excel)
Strong organizational skills and exceptional attention to detail and accuracy
