Role Summary:
The Executive Administrator will provide administrative support to the Vice President, Leadership Accelerator Program, the Operations Leader - XLP, and the Senior HR Business Partner, XLP. The Executive Assistant will become a critical partner to both leaders, by providing proactive assistance that helps both leaders utilize their time most effectively.

Essential Responsibilities:
  • Provide administrative support by developing and generating executive level documents, power point presentations and spreadsheets, charts and reports as needed
  • Manage complex schedules, coordinate meetings with internal and external parties and keep leader on track with time and calendar and handling calendar conflicts
  • Arrange meetings, meeting logistics and set up, prepare expense reports, complex travel needs, telepresence meetings, videoconferences and teleconferences
  • Review and respond to emails and phone calls from other key management personnel across GE as required, using discretion and judgment in gathering and conveying pertinent information in a timely manner
  • Project a professional impression of the XLP team to customers, partners and internal organizations
  • Make international and domestic travel arrangements including visas as needed
  • Utilize internal billing system to create purchase orders, requisitions, process / receive invoices and order supplies / equipment
  • Manage P-Card transactions
  • Organize & manage schedules via Outlook
  • Reconcile Travel & Living accounts, purchasing card statements and T&L accounts on a timely periodic basis
  • Coordinate meeting minutes as needed
  • Maintain distribution lists, org charts, contact lists, and other necessary files / databases
  • Manage special projects as directed


Qualifications/Requirements:
  • High School Diploma / GED
  • Minimum 8 years of professional work experience with at least 3 of those years being related to administrative assistant work supporting executive level management

  • Accurate and attentive to detail, superior writing and editing skills, able to manage multiple priorities and deadlines
  • Strong interpersonal and communication skills to interface with all levels of management
  • Adaptable / flexible – being open to change in response to new information, different or unexpected circumstances, and/or to work in ambiguous situation
  • Excellent telephone manner with strong Customer service skills
  • High degree of professionalism in both oral and written communications
  • Extensive follow-up, attention to detail and accuracy
  • Flexibility with overtime on short notice
  • Strong organizational, time management and prioritization skills
  • Ability to support multiple projects and balance conflicting needs
  • Knowledge of GE processes, tools and procedures is preferred
  • Experience in making complex domestic & international travel and meeting arrangements
  • Demonstrated work experience using Microsoft Word, Outlook and PowerPoint
    Proven ability to manage multiple tasks
