Role Summary: Responsible for Tenders and Quotations administrative support, Review meetings and follow up. Includes analytical work and report processing and management of department communication needs.
Manage the wing to wing Tendering process for ITO (Inquiry to Order) and coordinate tender response within strict timescales.
Complete non-standard contract reviews, highlighting any business risk to legal and controllership teams within restricted timescales.
Complete handover process from Sales to OTR upon receipt of signed contracts.
Internal project management with Logistics, Sales, Finance, HR, Marketing and external communication with our customers.
Daily review of Tendering websites to source new business opportunities, coordinate formal Tender applications, and management of Prequalification process as required.
Process sales quotations and send to customers as required.
Provide policy and process support to sales team on tendering: information collection, country policy research, review and escalation of contractual Terms and Conditions.
Support strategic growth imperatives (growth, simplification & quality) and initiatives to ensure the fulfilment of business requirements to optimize business performance.
Support internal and external quality audits and closure of audit findings. Ensure that the processes of the Quality Management System are maintained.
Support Sales Managers with periodic sales performance analysis.
Provide an excellent level of customer service for customers, both internal GE companies, and external distributors in the international market.
Build up close relationships with customers and commercial team to gain their trust and respond to customer queries in a timely and professional manner.
Develop solid product knowledge and a strong understanding of the logistics of specific products.
Provide policy and process support to sales team on tendering: information collection, country policy research etc.
Work as part of a team and adopt a flexible approach to increase and maintain the quality of service.
Provide knowledge and accurate information to customers. Able to initiate and drive innovative growth projects.
Bachelor degree in relevant discipline, or equal education
Proficient in use of Microsoft office with speed and accuracy.
High level of telephone and customer care skills.
Effective time management and organizational skills; ability to balance multiple priorities with minimum supervision.
Excellent interpersonal, verbal and written communications skills
Strong organizational skills with high attention to detail
Knowledge of procurement and supply process would be an advantage
Previous experience using independent thought processes to plan ahead, process information, maintain workflow and anticipate future needs of the team
Ability to exercise independent judgment consistent with department guidelines
Self-Starter, proactive, able to work independently with minimal direction
Ability to quickly identify and prioritize issues, create solutions and meet deadlines
Team player with strong interpersonal skills, capable of working within a globally diverse team across different time zones
