This person will support 2 executive level clients. Proactively support the administrative needs of the team; independently carrying out all assigned responsibilities and balancing the broad, varied and complex needs of multiple individuals. Become an active member of the functional teams supported and help facilitate execution of annual team goals. Provide back-up support to other administrative staff, as needed Essential Responsibilities: Proactively support the assigned leaders and their teams by independently handling all assigned duties, taking direction from and balancing the needs of multiple staff members.
Handle confidential data and matters in a discreet and professional manner.
Maintain and coordinate calendars, schedule appointments and meetings (including both onsite and off-site conference arrangements), arrange travel schedules, travel itineraries, reconcile T&L expenses.
Develop PowerPoint presentations, type letters, memos, charts, reports, proposals, agreements, or other types of correspondence and maintain records of all documents.
Schedule, plan, and organize all logistical details for in-house and off-site meetings, etc., as needed.
Manage a wide range of general administrative services including: telephone coverage, documentation management/file set up and maintenance, photocopying, ordering office supplies, invoice processing.
Communicate with internal and external persons and act as buffer, including screening, prioritizing and directing inquiries to appropriate resources in cases where personal contact with executives is not necessary or appropriate.
