Role Summary:
In this role, the Export / Import coordinators arrange export and domestic shipments, prepare and approve transportation orders, manage pricing information and release invoices. You will send documentation that coincides with shipments and exportation and are responsible for export regulatory compliance, accounting and audit functions. You will also arrange transportation and customs clearance for shipments into the US.

Essential Responsibilities:
In addition, you will coordinate shipments between non US countries. You will be responsible for import regulatory compliance, accounting and audit functions.

As the Export / Import coordinators, you will:

  • Prepare documents for export and domestic shipments
  • Expedite shipments
  • Receive documents and confirm data received is in compliance with US export regulations
  • Classify shipments in accordance with Schedule B and EAR
  • Receive import documentation from shipper and forwarder
  • Audit all documentation for Customs, EPA and TSCA compliance
  • Classify shipments under the Harmonized Tariff System of U.S. Customs
  • Input transportation information into Ardmore website
  • Instruct broker on Customs clearance
  • Make arrangements for inland shipping and intra-company shipping
  • Notify consignees of inbound shipments. Verify receipt of shipments
  • Compile invoices from parties involved in shipment (broker, trucker, port, etc.) document charges, provide backup to Project Manager, Controller, etc.
  • Provide project transportation quotes to sales (budgetary and feasibility)
  • Provide final transportation quotes to and from factory, supplier, site, port and international locations
  • Coordinate shipments to and from factory, supplier, site, port, and international locations
  • Control documents within the import/export department (record keeping)
  • Review purchase orders and contracts. Reconcile purchase orders
  • Audit export/ files for import and export compliance
  • Implement tools (forms, files, databases, processes) to track and report daily activities
  • Own risk assessment
  • Input transport information into Ardmore website
  • Maintain U.S. Customs procedures on temporary import bonds
  • Utilize and comply with Free Trade Agreements
  • Implement tools (forms, files, databases, processes) to track and report daily activities
  • Comply with DOT, HAZMAT, EPA and U.S. Export Regulations



Qualifications/Requirements:
  • Bachelor's Degree (OR a High School Diploma / GED with a minimum of 3 years of experience of shipping, domestic and import / export traffic terms, documentation and procedures)
  • Minimum of 1 year of experience of shipping, domestic and import / export traffic terms, documentation and procedures


Desired Characteristics:
  • Thorough understanding of U.S. Customs regulations
  • Thorough understanding of U.S. Export controls
  • Experience handling tasks where attention to detail is critical to success
  • Experience with basic accounting functions
  • Experience auditing documents and project requirements
  • Knowledge and comprehension of basic contract terms, conditions and Intercoms
  • Familiar with or have used the ACE portal for the AES Direct export filings as well
  • Ability to Multi-Task
  • NCBFAA CCS or CES certification
