Role Summary: This executive assistant role directly supports the Global Service Organization VP and Americas Service Leader and is based in Chicago, IL. In this role, you will become a critical partner proactively providing assistance to help the leaders and team be effective in driving business outcomes.
Essential Responsibilities: In addition you will:
Provide administrative support by developing and generating executive level documents, power point presentations, spreadsheets, charts, and reports, as needed
Manage complex schedules, coordinate meetings with internal / external parties, and keep leader on track with time, calendar, and handling calendar conflicts
Arrange meetings, meeting logistics, and set up
Prepare expense reports, complex travel needs, telepresence meetings, video conferences, and teleconferences
Review and respond to emails / phone calls from other key management personnel across GE, as required, using discretion and judgment in gathering and conveying pertinent information in a timely manner
Project a professional impression of GE Transportation to customers and internal organizations
Make international and domestic travel arrangements including; visas, as needed
Utilize internal billing system to create purchase orders, requisitions, process / receive invoices, and order supplies / equipment
Organize and manage schedules, via Outlook
Reconcile Travel and Living accounts, purchasing card statements, and T&L accounts on a timely periodic basis
Maintain distribution lists, org charts, contact lists, and other necessary files / databases
Manage special projects as directed, such as; staff meetings, events, celebrations, etc.
High School Diploma / GED
Minimum of 5 years of professional work experience with minimum of 3 of those years being related to Administrative Assistant work experience, supporting executive level management
High energy, positive outlook, and desire to make positive changes
Work proactively to make suggestions and anticipate needs
Proven ability to work with senior level executives, both internal and external
Ability to ensure security of confidential information
Work with other members of the Administrative team to form a cohesive team environment
Accurate and attentive to detail, superior writing and editing skills, and the ability to manage multiple priorities and deadlines
Strong interpersonal and communication skills, to interface with all levels of management
Adaptable / flexible – Being open to change in response to new information, different or unexpected circumstances, and/or to work in ambiguous situation
Excellent telephone manner with strong Customer service skills
High degree of professionalism, in both oral and written communication
Extensive follow-up / attention to detail and accuracy
Flexibility with overtime on short notice
Strong organizational, time management, and prioritization skills
Ability to support multiple projects and balance conflicting needs
Knowledge of GE processes and procedures
Experience in making complex domestic and international travel and meeting arrangements
Demonstrated work experience using Microsoft Word, Outlook, PowerPoint, and Excel
