Role Summary:
This executive assistant role directly supports the Global Service Organization VP and Americas Service Leader and is based in Chicago, IL. In
this role, you will become a critical partner proactively providing assistance to help the leaders and team be effective in driving business outcomes.

Essential Responsibilities:
In addition you will:


  • Provide administrative support by developing and generating executive level documents,
    power point presentations, spreadsheets, charts, and reports, as needed
  • Manage complex schedules, coordinate meetings with internal / external parties, and keep
    leader on track with time, calendar, and handling calendar conflicts
  • Arrange meetings, meeting logistics, and set up
  • Prepare expense reports, complex travel needs, telepresence meetings, video conferences,
    and teleconferences
  • Review and respond to emails / phone calls from other key management personnel across GE,
    as required, using discretion and judgment in gathering and conveying pertinent information in a
    timely manner
  • Project a professional impression of GE Transportation to customers and internal
    organizations
  • Make international and domestic travel arrangements including; visas, as needed
  • Utilize internal billing system to create purchase orders, requisitions, process / receive
    invoices, and order supplies / equipment
  • Organize and manage schedules, via Outlook
  • Reconcile Travel and Living accounts, purchasing card statements, and T&L accounts on a
    timely periodic basis
  • Maintain distribution lists, org charts, contact lists, and other necessary files / databases
  • Manage special projects as directed, such as; staff meetings, events, celebrations, etc.

    Qualifications/Requirements:
  • High School Diploma / GED
  • Minimum of 5 years of professional work experience with minimum of 3 of those years being
    related to Administrative Assistant work experience, supporting executive level management

    unexpected circumstances, and/or to work in ambiguous situation
  • Excellent telephone manner with strong Customer service skills
  • High degree of professionalism, in both oral and written communication
  • Extensive follow-up / attention to detail and accuracy
  • Flexibility with overtime on short notice
  • Strong organizational, time management, and prioritization skills
  • Ability to support multiple projects and balance conflicting needs
  • Knowledge of GE processes and procedures
  • Experience in making complex domestic and international travel and meeting arrangements
  • Demonstrated work experience using Microsoft Word, Outlook, PowerPoint, and Excel
  • Proven ability to manage multiple tasks
