Commercial Operations Coordinator is responsible for managing the Commercial Inquiry to Order (ITO) tendering process from initial prospecting and qualifying through the bid development and submission phases and concluding in the negotiating and closure of proposals, as well as for ensuring first class OTR processes and execution in order entry and systems.
Review Request for Quotations (RFQ’s) and/or sales enquiries
Liaise the Customer requests with engineering, sourcing and other departments within the company
Process using internal systems including Salesforce.com, and liaise with internal and customer stakeholders to build relationships
Create cost models, compile & issue proposal/quotation, ensuring that all costs are current and covered.
Evaluate pricing, commercial and technical risks. Seek executive approvals where necessary
Perform contract reviews/new contracts negotiations/implementations/contract amendments
Handle order receipt process for PO’s from the Customer, insure PO handover to project team
Ensure effective communication throughout regional proposal team
Provide accurate and timely reporting as required by Customer and commercial team
Proficient contract knowledge and administration to ensure all parties adhere to the contract through execution to the Customer
Ensure that accurate quotes for execution are created and appropriate Customer Purchase Order / Call Off are in place as applicable.
The administration of contract obligations in compliance with contract conditions and GE Oil and Gas operating procedures.
Established lines of communication within the project organization and towards Partners, Sub-Contractors, Suppliers and the Customer.
Accurate management of Sales Orders and operation of the Sales Order system
Raising of purchase order requisitions for parts and 3rd party services; initiating order using internal systems, and advise relevant parties
Accurate production of invoices as required. Review and Resolve credit and Cash flow queries.
Ensure financial and delivery requirements are met for business and customer through consistent job monitoring/reporting
Collate required documentation on job completion and initiate invoicing
Follow up outstanding payments when necessary with Customer
Coordination of logistics and completion of invoicing and project close out
Develop and maintain good and professional progress reporting.
Ensure development, maintenance and reporting of all internal or external commercial and invoicing/payment KPIs.
Interface with all functions to ensure successful deliverables.
Responsible for performance of the execution to meet revenue, cash flow, Customer satisfaction.
Assist Integrated Services Coordinator & Project Manager with day to day tasks/issues..
Attend and lead Customer and Internal meetings as required.
Bachelor’s degree from an accredited university in Engineering, Business or other technical or business related field or proven experience in Commercial operations.
Strong business acumen.
Ability to influence and lead cross functional teams.
Industry knowledge and appreciation of technical issues relevant to Subsea and Offshore technologies.
Strong knowledge and experience in cost estimating, budgeting and pricing.
Knowledge of legal aspects and implications of contracts, terms and conditions, negotiation, etc to allow constructing contracts whilst minimizing risk.
Six Sigma training is preferred.
Strong oral and written communication skills.
Strong interpersonal and leadership skills.
Prior experience in the O&G/Subsea industry with preference towards tendering/commercial/contract management.
