Role Summary:
The Fleet Coordinator is responsible for management duties related to ensuring that 1200 employees in the US and Canada receive the cars and light duty trucks needed to service our customers. You will manage asset and driver components from acquisition to disposal.



Essential Responsibilities:
As the Fleet Coordinator, you will:

  • Work in conjunction with business teams and vehicle management companies as necessary to coordinate the acquisition and disposal of vehicles
  • Maintain all compliance related requirements including but not limited to DOT (Department of Transportation) compliance, licensing, fuel tax reporting, personal mileage reporting, and any other regulation filing or action the company must perform and accurately record and file the corresponding paperwork once complete
  • Monitor status of driver's licenses and DOT records and ensure they are documented appropriately in each Driver Qualification file and ensure expired documents are renewed
  • Maintain DOT vehicle list and perform audits of vehicle maintenance files to ensure compliance
  • Review DOT safety management (CSA) scores on a regular basis
  • Be the escalation contact for employees who have company-provided vehicles (i.e., Leased or Owned) in matters related to the administration of the fleet policy
  • Be the first point of driver contact is the fleet management supplier
  • Process and conduct spend analysis of PO’s and invoices from third party vendors and service providers
  • Remain on-call to support handling any accidents that occur involving company vehicles
  • Oversee the maintenance of a fleet management database that includes purchases, sales, licensing / registration, insurance, inspections and maintenance
  • Work with outside vendors, including decal installation, coordinating the installation of GPS devices, PM scheduling, invoice processing, and other routine operations as assigned
  • Be responsible for initial Driver Qualification file set-up and review and approval; perform audits of Driver Qualification files
  • Follow-up on any inaccurate, expired or missing items


Qualifications/Requirements:
  • Bachelor's Degree from an accredited university or college (or High School Diploma / GED with a minimum of 4 years of experience in Logistics or Operations)


Desired Characteristics:
  • Experience managing third party supplier interactions
  • Lean / Six Sigma process improvement methodologies, or equivalent quality training
  • Understanding of basic fleet management principles / practices
  • Demonstrated understanding of department of transportation rules / regulations
  • Skilled in fostering fleet management supplier relationships
  • Ability to analyze, evaluate, improve and document processes and procedures
  • Ability to maintain focus in an environment subject to constant change and tight deadlines
  • Proficient with Microsoft Office applications and SAP
  • Strong oral and written communications
  • Demonstrated analytical skills and ability to solve problems with creative ideas
  • Organizational and prioritization skills
  • Strong interpersonal and leadership skills
  • Ability to work independently
