The Site Administrative Assistant is responsible for administrative duties including supporting the Site Leader & other Senior Staff Members in the Global Operations IT organization, scheduling travel and coordinating necessary documents, acting as the point of contact for various site logistics and events, supporting scheduling and preparation for team & organization-wide meetings, supporting the leadership team in planning employee events, and completing various other administrative tasks.
Provide administrative assistance support for leadership, including calendar management, coordinating audio/visual/Telepresence needs for all leadership meetings, travel coordination, expense report processing, and visitor clearances.
Prepares for and/or participates in meetings by compiling agendas, preparing and distributing materials, and coordinating and communicating various departmental activities.
Plan and coordinate all logistics for on-site activities, meetings and training courses (e.g. supplies, meals, etc.) Act as point of contact for site calendars (including Telepresence calendaring) and backup for site contact as needed by Facilities and IT.
Be the first point of contact for all site visitors (external or internal), including logistics coordination and escorting visitors to the appropriate meeting location
Create reports and presentations using Microsoft Excel, Word and PowerPoint.
Collaborate in a team oriented environment with multiple priorities.
Responsible for providing office and clerical services, including office supply inventory management, ordering business cards, etc.
Highly proactive and flexible, including the ability to anticipate and identify needs, and develop, suggest and implement successful solutions across a range of assignments.
Problem solving ability; willingness to pitch in and take on new responsibilities and challenges, including the ability to assist in special projects from beginning to end.
Take an active leadership role in planning, scheduling and coordinating all logistics for employee engagement events; to include mid-year and year-end events.
Manage and regularly update organization-wide distribution lists and membership to collaboration forums.
Manage and regularly update organization charts, as needed for employee communications.
Perform other required office functions as directed by immediate supervisor.
Maintain high level of confidentiality and integrity in all interactions.
Strong attention to detail, and excellent written and verbal communication skills.
Ability to work well with minimal direction in a fast-paced environment.
Minimum 7 years of experience in a professional setting working as an executive administrative assistant support executive level leaders.
Minimum 4 years of experience with Microsoft Office-Word, PowerPoint, Excel, Outlook (demonstrates a High level of proficiency).
Minimum 2 years of experience working in a multi-national organization supporting teams that are globally distributed.
Minimum 1 year of experience working with video collaboration tools and coordinating logistics for multi-site meetings.
