Coordinate and manage all applicable and delegated administrative activities and tasks on site, including but not limited to the office infrastructure, office equipment, assistance to site personnel, cleaning services coordination, interfacing with local agents and site purchasing.
Issuing purchase orders requests according the site purchasing procedure
Arranging accommodation with the selected Agency and transport for new staff and assisting employee relations coordinator with visa applications as required
Keeping registers of accommodation and transport Support new arrivals for registration process, bank account opening or any other tasks which require translation.
To ensure the demands of the site office First contact for any IT issues which have to be coordinated with the IT team in the head office.
Organize day-to-day operation, such as office utilities
To procure, control and maintain site equipment and ensure proper maintenance
To maintain and ensure the site office and temporary site facilities are in a clean and safe working condition
To administer contracts such as cleaning and office maintenance
To produce, implement and execute site administrative procedures and regulation
To provide assistance and cooperation to other site employees in line with this position
To understand local authorities requirements and ensure compliance in coordination with the Site Manager Planning and arranging business travel for site management team Sharing of administrative duties, as instructed by site manager Purchasing requests for non-construction material (office, safety, IT material)
Consulting with vendors to obtain pricing and availability information
Provide backup support for employee relations coordinator
Administrate site transportation
Translating letters into Portuguese from the Site Manager
Coordinating and managing events or celebrations
Coordinating meeting rooms
Supporting the Site manager to arrange his meeting schedules
Support other Site management functions with Administration tasks
Any other tasks assigned by the site manager
Responsible for complying with any applicable EHS requirements and revert to his/her Site manager should these be not reasonably practicable to implement
Working Experience on international project site office
Good Computer Skills in using MS-Windows & Office Applications (Excel, Word, Power Point) Preferably
Experience in Industry Fluent in English (oral & written) and Portuguese
Brazilian Driving license
Cultural Awareness and Team Player Nature Trustworthy, Reliable, and Dependable
Preferable from local area with wide network Management skills to control site infrastructure contracts
