Role Summary: Provide Administrative Services to the management and day to day activities of the office. Assist management and other senior Managers/Directors as requested.
Providing Support to Site Managers and other Experts who will be stationed in the Project areas
Assisting in the Logistics of making Travel and Accommodation arrangements for experts coming in and going out of the country in relation to the Project
Assisting management Logistics with procurement and logistical duties, for site as need arises
Carrying out responsibilities in accordance with the organization’s policies and applicable laws
Assist management in obtaining work permits for expatriates and other immigration issues
Processing business permits on a timely basis and fire certificates
Liaising with the local public health inspectors and fire brigade officers for inspections required for granting business permits
Ensuring compliance with local statutory bodies for business permits and certificates.
Liaising with the main clients and clearing Agents as assigned by management
Make timely applications for LPOs & Rebate documentation to local authorities
Maintain a sound follow of LPOs & Rebates for management
Assist in the handling of imports and exports project material & equipment for both temporary and permanent cases
Demonstrate ability to maintain confidentiality & exercise discretion with respect to sensitive matters
Carry out other duties as may from time to time be assigned by management
Records management and documentation
Updating and filling deliveries to sites
Develop and maintain a sound filling system that is hands on retrieval
Serve as a primary point of administrative contact and liaison with other offices, individuals, institutions and operational matters concerning the office
Perform other related duties as required
Minimum educational qualifications are Diploma of Business Administration.
5 Years of experience in the field of Administration or any business related field
Computer Literate at a proficient level
Fluency in Oral and written English
Knowledge of principles and techniques of administrative management
Knowledge of employee policies and procedures
Knowledge of general bookkeeping
Knowledge of office management principles and procedures
Good organizational skills essential for managing every administrative responsibility
Excellent written and verbal communication skills
